I've been mailing these to new netlabel owners, thought it might be handy to paste them here too. [Those who aren't a netlabel owner yet - please email netlabels@archive.org with the name of your netlabel and the email address that you signed up to the Archive with!] 'You can edit your netlabel by clicking the little 'edit' button next to its name on the collection screen - you can change the text, and also, if you want to add a logo, you need to go edit items, add a maximum 300 wide x 72 high pixel JPG and make sure it's tagged as 'collection header'. The upload method has changed quite a lot recently, but here's the brief explanation: 1. Go to http://www.archive.org/create/ITEMNAME and pick a name for the item. 2. You'll be given an FTP address - log onto it with your normal Archive email address and password, and upload all the MP3s and cover JPGs into there. If you want a small cover JPG as a thumbnail, name it alphabetically first in terms of your uploaded images, and that should work. 3. After you've done that, click the link to 'check everything in' and you'll be given a chance to add details about the item (name, description, etc). Don't worry if it take a couple of minutes before you can edit the page - sometimes it takes a little while for the XML dropper to kick in. 4. Just fill in all the details, and make sure that collection = your collection name. Then hit submit. Again, don't worry if it takes 5-10 minutes for the item to go live, but when it does, everything should be good! 5. If you want to edit the item again, you can go to the 'Item Manager' link, check the files out, and FTP up again to change things around.

Damn I screwed up, totally forgot the instructions and uploaded two new items for my netlabel without adding it to netlabel.

hiya, im getting started over at netlabel wanklank ... i found the ftp process a bit tricky to be honest and whilst i do think it is good to make mistakes and therefore learn for yourself, i thought maybe some people would welcome a larger help file, becuase simon's post here certainly helped me a lot ... so i expanded it a bit, hope it helps.
this is just my version so please change, edit, adapt as necessary.
added with no guarantee for success, even if it worked for me...
my edits are in CAPITALS


GETTING STARTED

email simon with your email
he needs the email you signed in to the archive with and the name for your collection.
you will then get given a site: www.archive.org/details/[YOUR COLLECTION NAME GOES HERE]


UPLOAD

1. Go to http://www.archive.org/create/ and pick a name for the item.
IT IS STRONGLY ADVISED THAT THIS NAME IS CONNECTED TO YOUR COLLECTION NAME IE IF YOUR CONNECTION NAME IS 'DANDY' THEN MAKE RELEASE ONE 'DANDY_ONE' OR 'DANDY1' OR 'DANDY111'. NO SPACES ALLOWED.

2. THEN YOU MUST UPLOAD THE FILES EITHER BY FTP [A] OR THE CCPUBLISHER TOOL [B].

FOR FTP:
You'll be given an FTP address - YOU HAVE TWO OPTIONS, EITHER LOG INTO TO IT VIA INTERNET EXPLORER [A1] OR LOG IN VIA AN FTP CLIENT [A2] SUCH AS CUTEFTP OR SMARTFTP.
Log onto it with your normal Archive email address and password, and upload all the MP3s and cover JPGs into there.

FOR CCPUBLISHER, FOLLOW THE INSTRUCTIONS

THE FILES MUST ALL BE NAMED [YOUR COLLECTION NAME GOES HERE]... SO FOR THE DANDY COLLECTION YOU MIGHT UPLOAD:

DANDYTRACKONE.MP3
DANDYTRACKTWO.MP3.
DANDYTRACKTHREE.MP3
DANDYTRACKFOUR.MP3
DANDY.JPG
DANDYCOVERART.JPG

If you want a small cover JPG as a thumbnail, it should be called itemname.jpg where itemname is the real itemname!
EG DANDY.JPG FOR THE DANDY NETLABEL

3. After you've done that, click the link to 'check everything in' and #

THEN YOU GET TO 'Your item is not yet public.
You must pick a mediatype and collection now'
SO FOR AUDIO NETABELS, YOU PICK AUDIO AND [YOUR COLLLECTION NAME HERE] IE DANDY
THEN SUBMIT AUDIO

THEN you'll be given a chance to add details about the item (name, description, etc). Don't worry if it take a couple of minutes before you can edit the page - sometimes it takes a little while for the XML dropper to kick in.
THEn CHECK EVERYTHING IN LINK IS PRESENT ON THE INTERNET EXPLORER PAGE [A1]
THEN CHECK EVERYTHING IN LINK IS PRESENT BACK ON THE ARCHIVE WEB PAGE WHERE YOU CREATED THE COLLECTION IN STEP 1 [A2]
I DIDNT DO METHOD [B] SO I DONT KNOW WHERE YOU CHECK IT IN

4. Just fill in all the details, and make sure that collection = your collection name.


4a. To have your item associated with overall "netlabels", you need to also hit the "Add another field" button near the bottom. Two new boxes appear. Add to left box (exact case) the string "collection" (without quotes). Add to right box (exact case) the string "netlabels" (without quotes).
OOPPS DIDN TACTUALLY READ THIS BEFORE SO I DIDNT DO THIS, IT APPEARS THAT THE FIELD IS AUTOMATICALLY ADDED AND THEN YOU MUST FILL IT IN. I FILLED IN MY COLLECTION AS [YOUR COLLECTION NAME GOES HERE] BUT WILL TRY ALSO TO FOLLOW THIS INSTRUCTION

AND MUST THE COLLECTION ITSELF BE LISTED AS 'COLLECTION - NETLABELS'? MINE IS LISTED 'COLLECTION - AUDIO' ..


4b. Then hit submit. Again, don't worry if it takes 5-10 minutes OR LONGER! for the item to go live, but when it does, everything should be good!


5. If you want to edit the item again, you can go to the 'Item Manager' link. IF YOU WANT TO ADD OR DELETE FILES YOU HAVE TO check the files out, and FTP up again to change things around. THEN REMEMBER TO CHECK EVERYTHING IN AGAIN ...
IF YOU WANT TO EDIT NAMES, TRACK ORDER AND SO ON THAT CAN ALL BE DONE WITHIN THE ITEM MANAGER ...

USEFUL TIPS:

FOR THE COLLECTION:

You can edit your collection by clicking the little 'edit' button next to its name on the collection screen - you can change the text, and also, if you want to add a logo, you need to go edit items, add a 200 x 75 pixel JPG, or thereabouts, and make sure it's tagged as 'collection header'. I CANNOT DO THIS .. I TRIED 'COLLECTION HEADER','COLLECTION_HEADER', '[YOUR COLLECTION NAME GOES HERE]' AND '[YOUR COLLECTION NAME GOES HERE]_HEADER'. BUT NO LUCK...

spotlight_identifier: The identifier for the item to spotlight for this collection.
THIS PUTS THE CHOSEN ITEM IN THE SPOTLIGHT FRAME ON THE LABEL PAGE ...




FOR INDIVIDUAL ITEMS YOU CAN EDIT UNDER THE NEW EDIT ITEM LINK, BOTTOM LEFT HAND CORNER OF PAGE. YOU CAN ALSO ACCESS THE ITEM MAMANGER THROUGH THIS AS WELL AS THROUGH ITS OWN LINK:

pick: This item should appear on the "pick" list for this collection, 0 or 1. 0 IS NO, 1 IS YES
public: This item should be publically available for download, 0 or 1. 0 IS NO, 1 IS YES
[I GUESS THE DEFAULT IS 1 FOR THE FIRST TWO ..]

[I GUESS THE DEFAULT IS O FOR THIS ONE ..]

SEEMS LIKE YOU ACTUALLY HAVE TO NUMBER THE TRACKS IN THEIR TITLES TO GET THEM TO LIST IN THE RIGHT ORDER.

Thanks for this - I hope people find it useful. I agree, the upload process _IS_ convoluted. I hope it gets fixed/improved soon.

To answer a couple of your questions:

1. If you want to make something appears in the netlabel RSS feed, you should add 'collection = netlabels' as _well_ as 'collection = audio' and 'collection = your collection'. Easy, huh?

2. For the logo - you need to upload a JPG, and it can be called anything, but when you go to the Item Manager, you should be about to pick the dropdown pick 'Collection Header' from the dropdown menu of file types. Does this make more sense?

How to add a collection header image to your details page:

I don't know if this method will work for everybody -- it might -- at least this is the way i did it.

1. Click "Edit Item" on your netlabel homepage/details page. On the edit page, click on "Item Manager." On the Item Manager page, click on "checkout--edit item's files (non XML)" near top of page. You'll be redirected to the Internet Archive Item Editing Tool.

2. In the box labeled "Manage Your Directory Tree," you'll see a file tree: right-click on the file named "1.html" (or maybe you can just click anywhere in the box -- i haven't tried that), & a context menu will pop up. Click "Add" at the bottom of that menu & a file upload window will open. Navigate to the image file you want to upload & double-click it. Back in the context menu, click "Upload." Your image file should now appear in the file tree. At the bottom of the page click "Update Item!" to save the changes you made.

3. Now you have to re-edit your details page. Scroll down to the list of files near the bottom of the page & look for your image file. On the right of it is a box with a drop down menu of file types: select "Collection Header" from this list. Then click "Submit" at the bottom of the page.

That should do it. Your collection header image should now be visible in the upper-right corner of your details page. I hope this was helpful to you. It does seem like a complicated process.

2. um, no i dont see any dropdown menus but i am prepared to give it another go so i will get back to you about that

btw i am pleased my netlabel page is finally finished, although my logo is now pretty huge ... but i think i will leave it that way for a while

You should be able to reach the link in a web browser, if you plug http:// into the same FTP url that you used. Then you can click on it!

Send an email to iasupport AT archive DOT org with the URLs of the items you would like us to take down. Make sure you send the email from the address you used when you uploaded the items (that's the only way we can tell that you're the owner).

I've had repeated occurances of uploading using the process you describe above and when I get to checking in the uploads, none of the files appear in the metadata editor page. I keep having to delete the files and the re-upload them on the item editing tool page using the flash uploader. Everytime I do this, the files then appear in the metadata editor, and I can proceed as normal.

Nothing is more frustrating than a netlabel release without good metadata, so I'd love to know what is going wrong here?

Is there any advice you can give?

i'd suggest using the uploader at archive.org/upload with Chrome, Firefox or Safari. You can add the metadata in that uploader before creating your item page.

Can you please delete the page for details/vuzh008 - I've re-uploaded it three times and I cannot get the metadata to imprint on the files. I'm going to start over from scratch. Getting metadata to imprint is very important, and this uploading process doesn't appear to be very efficient.

I upload files with existing metadata: my .wav files have ID3 tags. IA doesn't recognize the existing metadata. Then the .wavs I upload frequently are completely missing from the metadata editing page until AFTER I hit submit and the page goes public. Once the page goes public, then any metadata I enter does not affect the downloadable audio files, only how the tracks appear in the player.

I was hoping that entering metadata after the page is public and then re-deriving would fix the problem, but it doesn't. The only thing that seems to help is re-uploading the .wavs and hoping that they aren't missing in the metadata editor when I check them in.

As a netlabel publisher, this is a very frustrating process. It's also inefficient and eats up unnecessary bandwidth/time/server strain. I want the people who download the audio to get audio files with metadata, rather than the dreaded "tmp" metadata that's so prevalent.

It seems there must be a better way. Not every netlabel publisher is willing to re-upload until the netlabel release is correct. The prevalence of "tmp"/unknown artist downloads is frustrating from the POV of the netlabel fan.

The uploading UI needs improvements.

the system will ingest some but not all ID3 metadata.

the system automatically runs at least 3 tasks when you click the create button: archive, backup and derive. the page is public before the derive task is completed. you should wait for them to complete before trying to do more editing.

we do not alter original file so the file you upload will retain any ID3 tags you have put in them.

can you provide links to items where the files failed to upload?

There were no upload failures. The repeated uploads were undertaken only because the files that were derived by IA from the originals had no metadata. I started over because there's no way to edit the metadata once the collections are public, at least not such that it affects the different formats that IA derives.

I've so far worked on three releases:

If you look at the history of those collections, you'll see the process I undertook.

yes, the derive process will not transfer ID3 tags to the derivatives.

i'm not sure what you mean by "there's no way to edit the metadata". as i said, metadata is at the item (page) level, not file level.

you of course can upload you own original files for any format and include the ID3 tags. the system will not alter originals or derive new ones in those formats if it detects a pre-exting file in that format.

I messed up -- I uploaded and processed all my releases before I realised that I wasn't a netlabel owner yet. I emailed you, Simon, but I haven't heard back yet about my netlabel status. Hopefully this isn't too much of a problem. My label name is
Cat Jams
and my email address is the one attached to this username, catjams at gmail dot com. (It's the same username and email that I uploaded my 20 releases under!)
My releases are all titles JAM-0XX (i.e. http://www.archive.org/details/JAM-002 ), and they go from JAM-002 to JAM-023, skipping 006 and 012.

I have a problem with uploading more than 10 audio files once. That ftp-method doesn't work. It allows to upload images but the server rejects any mp3 which I try to upload. Doesn't matter if I try to do this via Total Commander or via web-browser. Any suggestions?

I have two questions:

1. I've been contributing to archive.org for many years but it was until past year I go for a net label collection. So, must of my contributions are included in several collections (community audio, community video, etc.). There seems to be impossible to change an item collection via the "edit item" capabilities.

Am I missing something here? Do I have to re-upload all my items, miss all my downloads and reviews, and start from scratch, if I want to include those in my collection?

2. My net label is not only focus on audio (which is the category it is included by now); actually, we made releases of audio, video, DGI and other digital goods.

Is there any way to cross-reference collections so items can be included in audio, video, books and other categories within the site and remain included in my label's collection? Or have you ever considered the possibility of creating a "multimedia" or a "mixed media" categories for labels?

I've been trying to find out how to do this and there's no answer yet for this issue, as far as I know.

i can move any of your items that you think should be in your netlabels collection to that collection. only Archive admins can do that. just let me know what you want moved. a list of URLs or identifiers would be best.

The site is designed so that item pages are mediatype specific. But, we can move any item, regardless of mediatype, into your collection if you feel it belongs there.

I have two doubts:

When I go to my contributions list, I can see an alien form (ja) and some text saying "I am an admin, hear me roar" so, does that mean I am able to perform this task myself? If so, is there any place I can find further instructions?

The other doubt is: another artist in my net label is also an Archive contributor (a heavy one) and an important amount of her contributions are meant also to be on this collection. Is there any proper way to add her to contribute to the collection and to "transport" her contributions?

Thanks for all your hard work simon! I just discovered something - might be considered a security problem - if I knew better the privileges here. I idiotically forgot to associate my collection with a release and went back and added a custom field to the meta data for the 3 releases of 'collection'. They're now releases of my netlabel. Couldn't anybody create a release under my netlabel in that fashion?

Hi, Simon. I created a page and didn't do the correct labeling on it (one day I'll get it right). The page that needs to be deleted is https://archive.org/details/SoarFront I meant to call it https://archive.org/details/rustedsun003 I actually did a new page with that link, and while it shows at the top as being up under the 'Rusted Sun' category (that's the netlabel name), when I click on the 'Rusted Sun' link, it doesn't show it there (unless I click on 'this just in - more). Why is that? It still shows me having only 2 items on the Rusted Sun page. Could it be because I did it initially as a test, then removed that? Hmmmmmm..... Sorry about this, I need to definitely do a bit more research on how to use Archive.org a bit better. edit: the 2 newer items did show up, took a little bit. Just need the one page deleted that I had mentioned earlier. Thanks!

Hello.
Recently had a netlabel set up (http://www.archive.org/details/argali-records), but was only able to get the item/page editor to show up once. Next time I tried to access it, got this error message:

"The item you are trying to edit does not have metadata or the metadata is not parseable.
It will need to be rebuilt or fixed first."

As far as I know, I didn't change anything, just looked at the various options. Any suggestions on this and/or how to fix/avoid this in the future (ie 'things not to do until you do x or y...')? Any help greatly appreciated (PS Couldn't find the 'Report Error' button for the page).

'You can edit your netlabel by clicking the little 'edit' button next to its name on the collection screen - you can change the text, and also, if you want to add a logo, you need to go edit items, add a 200 x 75 pixel JPG, or thereabouts, and make sure it's tagged as 'collection header'.

I think the new uplaod proccess is pretty good. Items get online faster with more control on the user side.

Hi!

I guess I missunderstood the process to set an image of the netlabel and after adding an item "collection header" with value of url to a jpg 200x90 I've corrupted the xml.

Currently the details page is seen (http://www.archive.org/details/grhk004) but I can not edit neither do any admin task and it reply with this message:

"The item you are trying to edit does not have metadata or the metadata is not parseable.
It will need to be rebuilt or fixed first."

How may I fix it if it doesn't allow me to edit the xml?
Where's the rebuilt option?

Hi, I've fixed your collection's front page: http://www.archive.org/details/GRHK_Records Here's how to add a logo to the upper right corner of your netlabel collection's pages: * Go to your collection front page * Click the "edit" link next to the title * Click Item Manager * Check out the item's files * Upload your logo to this directory using FTP * Check the item back in * Return to collection's front page and click "edit" link again * Find logo file at bottom of page and choose "Collection Header" from the drop down list of formats and submit. It takes a few minutes for the changes to show up, but that's it! You might want to use the "report error" option in the future, since we're likely to see your problem a lot sooner that way. I'm from Chile. Due to a very critical problem with our Intellectual Property Law government modification project, a group of internet user, musicians, writers, and very much people had decided to do something about. One of these things is to make a web portal for Chilean Musicians charing their works under creative commons license. The idea is to group ANY kind of music. My question is, one netlabel must be one style of music or one netlabel can have multiple Styles?

After this project, the next step is a virtual CC library for Chilean writers (and readers... of course).

It can be anything you want, as long as it's free and some folks insist on MP3 format being part of it for some reason. Oh yeah, they love the "catalog" numbers too.

My theory about the reason why mp3 format is more required than OGG Vorbis, for example, is the most media reproducers (mp3, mp4, and ipod alike ...) do not give support for many other sound file format.

It's a shame, I love OGG Vorbis, My entire collections is on that format, and I haven't bought any meida reproducer becouse... well, I think it's logical.

and thx for the works in teh admin pages !
WE just have problems with accent (in french there are many accents). I know we're not alone in this case (it's cause of xml files ?)
I tried to encode the text in UTF-8 and in iso 8859-1
but there always problems :

Is there a solution i don't know to fix the problem ?
or do we have to write only in english ?

Please report this problem (there's a 'Report Errors' button in the bottom left of the details page) and I'm hoping that the Archive coders will find time to take a look. It's particularly bad as a problem in netlabels because many netlabel owners use languages with accents (French, Spanish, German, etc.)
